This document is intended for use by personnel performing data entry into the ERPToolsX system.
This document was created to inform users of the correct import format needed to successfully import data into ERPToolsX. Each of the Tables is laid out similarly so the user can quickly find information needed about the format of the import file. For more information on the layout of the Table information please check the Table Description section. For more information on the layout of the Field Information please check the Field Description section.
The tables in Field Descriptions describe the fields in the Environmental Resource Program Information Management System (ERPIMS).
Most information stored in ERPIMS is encoded to save database space. To enter this encoded data in ERPIMS format, the codes used must be codes found in the current Valid Value Lists (VVLs). If the appropriate code cannot be found in the VVL, a code must be requested through the ERPIMS Data Support. If the code requested is approved for use in ERPIMS, it will be added to the Valid Value Lists. When a project is first created, ERPToolsX will download all the current VVLs. Changes to the VVLs will then be checked every 3 days to ensure that the user has the most current VVL Version. Users can use the Application Synchronization screen to initiate an unscheduled update if needed (See ERPTools Help for instructions).
Key fields are an important concept used in relational databases such as ERPIMS. Key fields are used to uniquely identify a record and distinguish that record from all other records in the database. The names of the key fields used in ERPIMS are Boldface in all tables. Key Fields must have data in them for the submission to be imported into the ERPToolsX program. Without these fields ERPToolsX will display an error and ask the user to correct the missing information. Just because the user has included all the key fields does not ensure that the record will pass validation rules. These validation rules enforce all standards required by AFCEC and conditional values that may be needed. All records must pass validation to be transmitted to AFCEC. Required fields for ERPIMS submissions have both the "Yes" in the "Required" column and are typed in Boldface in the applicable tables.
